When a custom label quote is based only on “500 labels,” the result can leave important questions unanswered. Finished size, the number of artwork versions, the surface receiving the label and the delivery destination can all change the production route and freight.
Use the eight details below to make the first written quote more useful. You do not need to know every technical term. If a field is uncertain, say what the label will be applied to and how the finished product will be handled.
1. Finished label size and shape
Send the finished width and height, preferably in inches or millimetres, and note whether the label is a rectangle, circle, oval or custom shape. If the label must fit an existing panel, bottle or jar, include the usable application area rather than the overall package size.
2. Quantity for each design
State the total quantity and the number of designs or SKUs. For example, “2,000 labels across four scents, 500 of each” is more useful than “2,000 labels.” Separate quantities help us review whether multiple versions can share a practical production route.
3. Current artwork status
Tell us whether the artwork is print-ready, still being revised or only available as a logo and text. AI or PDF files are useful when available. Include one current file for the initial digital review; do not send confidential source files until you are comfortable with the request path.
4. Application surface
Describe what the label will be applied to, such as glass, plastic, coated paperboard, an uncoated carton or a flexible pouch. Also say whether the surface is flat or curved. The final material and adhesive route must be confirmed for the actual surface rather than assumed from a product name.
5. Expected exposure
Mention conditions the label may face: water, oil, refrigeration, condensation, repeated handling, outdoor light or abrasion. This is an input for review, not a performance guarantee. Any material or durability requirement is confirmed in the order specification before production.
6. Delivery format or packing need
If you have a required format—such as sheets, rolls or individually cut pieces—include it in the request. If there is no requirement, say how the labels will be applied: by hand, by a specific machine or by a fulfilment partner. Availability and packing are checked for the exact order.
7. Delivery destination
Provide the destination country and postal or ZIP code. Freight, tax or duty treatment cannot be confirmed from product quantity alone. ZORVOO confirms the applicable shipping route and amount in writing for the order.
8. Required date
Give the date the printed labels need to arrive, not only the planned launch date. Production and transit timing are confirmed after the specification, artwork, proof route, quantity and destination have been reviewed. A requested date is not treated as accepted until it appears in the written quote or order confirmation.
